2023 Region II Head Start Conference - Booth Options
Lobby Level Booths
Conveniently located between the conference registration and the hotel registration, our lobby level booths provide maximum exposure to all conference attendees.
We are very excited to announce the availability of our Vendor / Sponsorship opportunities for our upcoming Region II Head Start Association Annual Conference in Puerto Rico. The conference will be held on October 16-19, 2023 in San Juan at the Royal Sonesta Hotel. We are expecting 1,000 attendees this year. We are also using a new conference management system, which comes complete with a new website, mobile app, and improved vendor and attendee registration system.

This year we are excited to announce some new opportunities for sponsors and exhibitors. In 2023, exhibit booths will be located throughout the hotel - on the main lobby level and on the 3rd floor. The main lobby level features the registration area, three meeting rooms and the ballroom where we will hold all of our plenary sessions. On the lobby level, we are offering a total of 5 VIP exhibit areas. These large areas are in an ideal position, as every attendee will walk past these booths.

3rd Floor Booths
The third floor, which is where the majority of break-out sessions will occur, is also ripe with exhibit opportunities. The third floor features one large VIP booth, directly across from the elevator and the stairs. This booth, which is 11x18 feet, provides high-visibility and engagement.
The other booths on the 3rd floor are standard exhibit tables - 30 inches by 6 feet. Each table comes with two chairs. Tables with access to power are $550 and tables without electrical access are $450.

Please Note:
Due to space limitations and the amount of attendees this year - if you purchase an exhibit table - you will be restricted to the area immediately around your booth. Putting up a pop up banner behind your table or to the side of your table is okay - but we are not allowing additional displays, equipment or products to extend outside of the table area. If you require additional space, please purchase a VIP booth or contact us to discuss your specific needs.

Monday, October 16th - Lobby Level VIP Booths can begin setting up at 7am

Monday, October 16th - We have morning workshops from 10am to 11:30am the opening session will be in the Lobby Level ballroom at 3:00pm. Opening session concludes at 5:00pm

Monday, October 16th - Sponsorships Available - Opening Night Reception 5:00 - 6:30pm

Tuesday, October 17th - Vendors open from 8:30am - 5pm - sessions on the Lobby Level and 3rd floor throughout the day

Wednesday, October 18th - Vendors open from 8:30am - 5pm - sessions on the Lobby Level and the 3rd floor throughout the day

Wednesday, October 18th - 3rd floor vendors must move out by 7pm

Thursday, October 19th - Closing session and breakfast begins at 9am

Thursday, October 19th - Lobby Level VIP booths must move out by 1pm
